First Time Organisers

So along with having to learn the ritual you also have to organise a weekend event!  Where do you start?  Contact Square Events Management either via the telephone (0845 1 656220) or press the Place an enquiry button above.

Square Events Management have an experienced team who will ask all the questions required to create an event brief.  Within an hour all suitable hotels and venues will receive the brief and provide Square Events Management with an initial proposal and provisionally hold the weekend for you.

When a selection of available hotels are in place a comprehensive proposal that is easy to digest is posted and/or emailed for your perusal.  Within the documents are the hotel proposals; additional supplier details (such as bands, discos, toastmasters, photographers, etc) and a cost calculator.

We will follow up the proposal within a few days to ensure we are on track and to arrange a site visit to your shortlisted two or three hotels.  One of our team will try and meet you on your site visit to explain and points that may arise and to ensure you know you are in the safest of hands.

Square Events Management will then work with your preferred hotel to confirm the event and provide as simple as possible contract for the event with safe guards in place to try and endeavour to reduce your risk as much as possible.

Your job is to promote the event to your members of the lodge and also your friends and family to get a good base of guests to enjoy the weekend or evening.  Square Events can assist with distribution of invitations and collation of responses and collection of fees.  All confirmed guest receive receipts and confirmation of their booking.
